At 843 Party Rentals, LLC (“we,” “us,” or “our”), we take pride in providing clean, well-maintained equipment for every rental. This Damage & Loss Policy explains how we handle situations where equipment is damaged, lost, stolen, or returned in unacceptable condition. By booking with us, you (“Customer” or “you”) agree to the terms of this policy, which are also incorporated into the Rental Agreement signed at booking.

CUSTOMER RESPONSIBILITY FOR EQUIPMENT

From the time rental equipment is delivered to you or picked up by you, until it is returned to us or retrieved by us, you are fully responsible for its safekeeping and condition. This responsibility includes protecting the equipment from theft, vandalism, weather damage, mishandling, and any other harm.

If equipment is damaged, lost, stolen, or returned in unacceptable condition during the rental period, you are financially responsible for the cost of repair or replacement, up to and including the full replacement cost of the equipment at current market value.

INSPECTION PROCESS

All equipment is cleaned, sanitized, and inspected before each rental and is documented in working order at the time of delivery or pickup. We encourage all customers to inspect equipment at the start of the rental and report any pre-existing damage or concerns immediately.

Following the return of equipment, our team inspects each item within seventy-two (72) hours to verify its condition. If damage, missing parts, or excessive wear is identified, we will notify you in writing (by email or text message) within seventy-two (72) hours of return, including:

  • A description of the damage or loss;

  • Photographs documenting the condition (when available);

  • The assessed repair or replacement cost based on actual market value;

  • An itemized invoice for any charges.

WHAT CONSTITUTES DAMAGE

Damage includes, but is not limited to, the following conditions:

  • Broken, cracked, or non-functioning machine components;

  • Water damage to electrical equipment, including damage from rain exposure, accidental immersion, or contact with sprinklers;

  • Torn, burned, stained, or punctured inflatable bunkers, tarps, vests, or other fabric items;

  • Missing or broken Nerf blasters, foam darts, safety glasses, or tactical vests;

  • Lost or missing components or accessories;

  • Damage caused by improper use, weather exposure, animal contact, pet damage, or accidents;

  • Markings, stains, scuffs, or alterations that cannot be removed with standard cleaning;

  • Damage to equipment caused by use of unauthorized supplies, parts, or accessories;

  • Any condition that prevents the equipment from being rented again in the same condition it was received.

Normal Wear and Tear. We do not charge for ordinary wear and tear consistent with normal, intended use of equipment. Examples of normal wear include minor surface scuffing, slight discoloration consistent with age, and other cosmetic conditions that do not affect functionality.

CLEANING FEES

Equipment must be returned in reasonably clean condition. Equipment returned in excessively dirty condition may be subject to cleaning fees in addition to any applicable damage charges. Examples of conditions requiring cleaning fees include:

  • Caked-on cotton candy, snow cone syrup, or other food residue;

  • Mud, dirt, or grass embedded in equipment, vests, or fabric items;

  • Foam residue not properly rinsed from equipment;

  • Sticky substances, gum, or food spills inside or on equipment;

  • Mildew, odor, or evidence of equipment being stored improperly while wet;

  • Pet hair, animal waste, or contamination;

  • Smoke residue or strong odors that require professional cleaning.

Cleaning fees typically range from $25 to $100 per item, depending on the extent of cleaning required. In severe cases requiring professional cleaning or sanitization, actual cleaning costs will be charged.

LOST OR STOLEN EQUIPMENT

If equipment is lost or stolen during the rental period, please notify us immediately. You are responsible for the full replacement cost of any lost or stolen equipment, at current market value.

If theft is suspected, you must file a police report and provide us with a copy of the report. Filing a police report does not relieve you of financial responsibility for the equipment but may assist in insurance claims and recovery efforts.

HOW CHARGES ARE PROCESSED

By booking with us, you authorize us to charge the credit or debit card on file for any damages, cleaning fees, or replacement costs incurred during your rental, in accordance with this policy and the Rental Agreement.

Charges will be processed within seventy-two (72) hours of completing our inspection. You will receive an itemized invoice and notification of any charges. Charges are based on actual repair costs (when repair is feasible) or current replacement cost (when repair is not feasible).

DISPUTED CHARGES

If you believe a damage or cleaning charge has been incorrectly assessed, please contact us within seven (7) days of receiving the charge notification. We will review your concerns in good faith, examine all documentation, and discuss the matter with you to reach a fair resolution.

If a dispute cannot be resolved through direct discussion, the dispute resolution procedures in the Rental Agreement will apply.

REPLACEMENT COST EXAMPLES

For transparency, below are approximate replacement costs for our equipment at current market value. Actual costs may vary based on the specific model, condition required, and current market prices at the time of replacement:

  • Cotton candy machine: $300–$500

  • Snow cone machine: $200–$400

  • Bubble & fog machine: $200–$400

  • Karaoke system (speaker + microphones): $300–$500

  • Commercial foam cannon: $1,500–$3,000

  • Nerf Wars Battle Pack (full set): $600–$900

  • Tactical vest: $30–$40

  • Safety glasses (pair): $10–$20

  • Plinko, Yard Pong, or Glow Jenga set: $150–$400

  • Blacklight: $40–$80.

These ranges are estimates for general reference only. Actual charges will be based on the documented cost to repair or replace the specific item damaged or lost.

TIPS TO AVOID DAMAGE CHARGES

Damage charges are rare, and most rentals are returned with no issues. To help ensure a smooth return:

  • Keep electrical equipment away from water sources, sprinklers, and pools;

  • Bring equipment indoors or under cover if unexpected rain develops;

  • Wipe down concession machines after use to remove sticky residue;

  • Rinse foam from equipment, vests, and tarps after foam events;

  • Keep pets away from rented equipment;

  • Supervise children at all times when equipment is in use;

  • Return all components, accessories, and supplies in their original containers;

  • If damage occurs during your event, notify us right away so we can advise on how to minimize further damage.
