At 843 Party Rentals, LLC (“we,” “us,” or “our”), we understand that plans change. This Cancellation & Refund Policy explains how cancellations, reschedules, and refunds work for rentals booked through our company. By booking with us, you (“Customer” or “you”) agree to the terms of this policy, which are also incorporated into the Rental Agreement signed at booking.
CANCELLATION TIMELINE
Cancellation refunds depend on when we receive your written cancellation notice (by email, text message, or direct phone call). The timing is measured from when we receive the notice, not when you decide to cancel.
More Than 48 Hours Before Your Event
If you cancel more than forty-eight (48) hours before your scheduled event start time, you will receive a full refund of your 25% booking deposit, less any non-refundable third-party payment processing fees. Refunds are processed within fourteen (14) business days to the original payment method.
Within 24 to 48 Hours Before Your Event
If you cancel between twenty-four (24) and forty-eight (48) hours before your scheduled event start time, your 25% booking deposit will be forfeited. No further charges will be made to your card on file. This reflects the time and preparation already invested in your event and our inability to rebook the slot on short notice.
Within 24 Hours of Your Event
If you cancel within twenty-four (24) hours of your scheduled event start time, you may be charged the full rental cost. By booking with us, you authorize us to charge your card on file for the full rental amount in such cases. This reflects the fact that within twenty-four (24) hours, the time slot cannot reasonably be rebooked and we have incurred preparation costs and committed resources to your event.
No-Show
If you are not available to receive delivery or to pick up your rental at the agreed time without providing notice, your booking will be treated as a cancellation within twenty-four (24) hours of the event, and you will be charged the full rental cost.
SEVERE WEATHER POLICY
We never want safety to be a concern at your event. If severe weather makes your event unsafe or impractical, we will work with you in good faith to reschedule your booking to a mutually agreeable future date, subject to availability, at no additional charge.
Severe weather is defined as: sustained heavy rainfall, active lightning within ten (10) miles of the event location, sustained winds in excess of twenty-five (25) miles per hour, named tropical storms or hurricanes, tornado watches or warnings, temperatures below 50°F or above 100°F, or other weather conditions that, in our reasonable judgment, create a safety risk for participants or equipment.
Routine rain showers, overcast weather, or conditions that do not meet this definition will not qualify for free rescheduling under this policy. For events involving electrical equipment (cotton candy machines, snow cone machines, karaoke equipment, fog/bubble machines, foam cannon services), most rentals can be safely operated under a tent or covered porch in light rain. Please discuss any weather concerns with us in advance so we can plan together.
RESCHEDULING
Need to move your event to a different date instead of cancelling? Rescheduling requests are handled as follows:
More Than 48 Hours Before Your Event
Reschedules requested more than forty-eight (48) hours before your event can be applied to a future date at no charge, subject to availability of the new requested date and equipment.
Within 48 Hours of Your Event
Rescheduling requests made within forty-eight (48) hours of the event will be treated as cancellations under the timeline above, unless the reschedule is due to severe weather as defined above.
Subject to Availability
All rescheduling requests are subject to availability. If your preferred new date is not available, we will work with you to find an alternative. If no alternative date can be agreed upon, the original cancellation terms apply.
HOW TO CANCEL OR RESCHEDULE
To cancel or reschedule your booking, please contact us as soon as possible by:
Phone or text message at the number provided in your booking confirmation;
Email at the address provided in your booking confirmation;
Direct response to any communication from our team.
Cancellation timing is based on when we receive your notice, not when you decided to cancel. We recommend sending notice as early as possible to maximize your refund eligibility.
FORCE MAJEURE
We are not responsible for failure to perform under this policy due to events beyond our reasonable control, including but not limited to: natural disasters, severe weather, governmental orders, public health emergencies, equipment failure outside our control, vehicle breakdowns en route, or transportation failures. In such cases, we will work with you to reschedule your event or, at your option, provide a full refund of all amounts paid.
